Can I import my bank statement? Which formats?

Yes. Flatmine auto-detects and imports camt.053 (ISO 20022), MT940, CSV and Excel, and can even read receipt images/PDFs with AI to match payments to units.

Can I use it on my phone? Is there an app?

Flatmine works in any browser on phone, tablet and desktop (fully responsive), so you can manage from anywhere with your login.

Is Flatmine really free?

Yes. Completely free up to 60 units - no setup fee, no credit card. For larger buildings and professional management, unit and manager numbers are set with your application.

Do residents pay anything to Flatmine?

No. Flatmine is software provided to building management; it never charges residents. Dues, common expenses and similar amounts are set and collected by your management, and requests you submit in the app go to them too.

How do I get started? How long does setup take?

Fill in the application form; once approved you receive an invitation email. Defining your community, blocks and units takes minutes - no technical skills needed.

How are dues and payments tracked?

Set up your dues template and generate a period. Partial payments, statements, balances and reports are all in one panel, with print and export built in.

Is my data safe? Who can access it?

Data is stored on Google (Firebase) infrastructure over encrypted connections. Registration is invitation/approval gated; everyone sees only their own community based on their role. Residents see only their own balance - neighbours' debts are never disclosed individually.

Can I also track operations like staff, vehicles and contracts, not just dues?

Yes. Beyond dues and accounting, you manage staff (shifts, leave, timesheets, advances), site vehicles (license, inspection, insurance, periodic maintenance and odometer history), service contracts (elevator maintenance, security, insurance — with end-date reminders), assets/custody and amenity bookings in one panel.

Which languages are supported?

Ten languages including English, German and Turkish, plus right-to-left (RTL) layout for Arabic. Managers and residents use the interface in their own language.

Does it support mall and commercial rent management?

Yes. Build component-based leases from flat rent to mall rent: minimum guarantee + % of turnover, per-m²/frontage rates and common-area (CAM) contributions. Accruals post to the tenant's account; foreign currencies and versioned leases are supported, with a simple mode for residential rent.

Can I track late fees and formal notices?

Yes. Define separate late-fee rules for dues and rent (e.g. 5% monthly); fees accrue as separate items with one click and can be reversed. The reminder → warning → formal notice ladder is recorded with PDF output.

Can I track staff cash advances?

Yes. Advances given to staff are kept in a reversal-based ledger; the balance updates as expenses and refunds are deducted, and advances nearing their due date are flagged with badges and notifications.

Is there a visitor and parcel/delivery log?

Yes. Visitor check-ins/check-outs are recorded in a privacy-compliant log; packages received at the door are registered and the resident is notified.

Can residents book amenities like the pool or gym?

Yes. Facilities such as the pool, gym and meeting rooms have an approval-based booking flow; a busy/free calendar is open to residents while the booker's identity stays hidden from neighbours.

Can I prepare the annual operating plan (budget)?

Yes. You enter the estimated yearly income and expense lines, see the monthly share per unit and have the budget approved by a board resolution - the operating plan under Turkish condominium law art. 37, the Wirtschaftsplan under German WEG §28, the annual presupuesto in Spain. An approved budget cannot be edited. Actual amounts are derived from the income and expense ledger; lines over plan and items spent without ever being budgeted are listed separately.

Is it recorded how many quotes were collected before choosing a vendor?

Yes. The tender module keeps the answers to the resident's three questions on file: how many quotes, was it the cheapest, and if not, why. At least three quotes by default; below that you must open an exception with a board resolution. Firms that never replied are recorded too, so "we asked three firms and two never answered" can be proved. Emergency work skips the quotes but the spend goes to the board for ratification afterwards.

Where is my data stored and who can see it?

Data is hosted on Google Cloud in European regions. Every request is authorized on the server by role and building; residents see only their own unit, and debt is shown to the community only as an aggregate total; no neighbour is ever exposed by name. GDPR-aligned data minimisation applies throughout.

Does Flatmine store my card details?

No. Card payments happen on the secure page of the community’s own payment provider; card data never enters Flatmine and money never passes through it. The confirmation reaches the ledger as a signature-verified notification.

Who can enable paid services such as SMS or a payment provider?

No single person can. Every paid channel starts closed and opens only with a numbered, signed resolution of the owners’ board, recorded permanently with its date and signatory.

Is it too complex for a small apartment building?

No. During setup you pick the package closest to your property and the menu is built accordingly: a small apartment building never sees tenders, a shuttle fleet or accounting export. The table below shows what each package turns on.

This is only about convenience: a module that is off has not been deleted, and you can switch it on or off in Settings at any time. Dashboard, dues & collections, the income-expense ledger, reports, announcements and requests are on in every package.
